I'm Vanessa — an Executive Assistant and data scientist who pairs eight years of EA craft with AI tooling, so the founders I work with never have to think twice about what's running in the background.
The EA role hasn't gotten smaller with AI, it's gotten more leveraged. I use that leverage to run more surface area without dropping the details that actually need a human eye.
The calls only someone who knows the business should make.
Systems that do the repeatable work without me in the loop.
The unglamorous layer that keeps everything else from breaking.
A few examples of the kind of work that usually happens quietly, off to the side of the founder's calendar.
Built a tiered triage system combining Gmail filters, labels, and an AI drafting pass that pre-sorts by urgency and drafts first-pass replies for recurring request types. Cut the founder's active inbox time to a fixed 15-minute window, twice a day.
Designed a calendar orchestration system that auto-resolves conflicts across three timezones, applies standing buffer rules around deep-work blocks, and routes meeting requests through a pre-set priority ladder before they ever hit the founder's calendar.
Replaced ad-hoc Slack pings with a lightweight intake queue that scores incoming requests by urgency and reversibility, batches the low-stakes ones for weekly review, and only interrupts the founder for the handful that actually need it.
I didn't come to executive support from admin work. I came to it from data — which is why I default to building systems instead of just clearing tasks.
Started in customer support and moved into technical support, learning how systems break and how to explain them clearly, the foundation for everything that came after.
Moved into EA work to apply that same systems thinking directly to how founders and executives operate day to day.
Now I run inbox, calendar, vendor, and ops management for founders — layering in automation and AI tooling wherever it removes friction without removing judgment.
The habits that make me good at this job didn't start in an inbox.
Six years of solo travel, planning every logistic of my own trips.
Competitive static apnea. Composure under constraint, on purpose.
Shooting birds and street life as @films.vjy on Instagram.
Fully plant-based living, run with the same intention as everything else.
If you need someone who can hold the calendar, the inbox, and the systems underneath both — let's talk.
